Herman Miller backs most of its products with a 12-year warranty that covers parts and labour and is rated for three shifts, or 24-hour use. It protects the original purchaser who bought new from Herman Miller or an authorised reseller. It covers defects in material and workmanship, not wear and tear, fading or misuse. To claim, you go through the dealer who sold the product, with a photo of the manufacturing label and a photo of the problem.

A premium office chair is a twelve-year decision. The price is the first line of the cost. The warranty is the second, and it is the line most buyers never read until something squeaks, sinks or stops tilting.

The 12-year warranty in one minute

Herman Miller states that, with limited exceptions, its products are covered by a 12-year warranty that includes parts and labour. The cover is rated for three shifts, which Herman Miller describes as 24-hour coverage. Its International Warranty goes further and spells out that the warranty covers everything on the product, including electrical components, castors, pneumatic cylinders, tilts and all moving mechanisms.

The three-shift rating is the part buyers skip. Most warranties assume one person at one desk for eight hours. Herman Miller's cover is rated for chairs that never rest: shared desks, call centres, control rooms and hot-desking floors where one seat serves several people a day.

Three shifts means the warranty is rated for round-the-clock use, not just a single office day.

One rule sets the clock. The warranty period starts from the date of purchase, not the day the chair is first used.

What the Herman Miller warranty covers

Herman Miller promises to repair or replace any covered product, part or component that fails under normal use because of a defect in material or workmanship. Replacement is with a comparable product, part or component, and the choice between repair and replacement is Herman Miller's.

On a task chair, that means:

  • Pneumatic (gas-lift) cylinders that sink or stop holding height
  • Tilt and recline mechanisms that stiffen, lock or fail
  • Castors that crack or stop rolling
  • Arms and other moving mechanisms that loosen or break
  • Electrical components, on products that have them
  • Labour for all of the above: the warranty includes labour as well as parts

What the warranty does not cover

The warranty covers failure, not ageing. Herman Miller lists what it does not warrant, and a few items surprise buyers:

  • Normal wear and tear
  • Pilling of textiles and abrasion over time
  • Changes to finishes and colour from ageing or direct sunlight
  • Discolouration from stains, soiling or dye transfer from clothing, including denim
  • Damage from sharp or foreign objects
  • Natural variations in leather, wood grain and stone
  • Products exposed to extreme environmental conditions or stored improperly
  • Misuse, abuse or modification of the product, which voids the warranty

 

Two conditions matter just as much. The product must be used according to Herman Miller's published instructions. Where installation is needed, it must be installed and maintained by a factory-trained technician or an authorised dealer installer. Herman Miller also does not warrant performance when its products are combined with parts that are not original Herman Miller products.

Who is covered, and why the seller matters

The warranty extends only to the original purchaser who bought a new product from Herman Miller, its subsidiaries or its authorised resellers. Herman Miller's own FAQ is direct about the consequence: it cannot guarantee the condition or authenticity of components used by unauthorised resellers, so those products are not covered.

Where you buy decides whether the manufacturer warranty exists at all.

That has three practical consequences in Kazakhstan:

  • A used, refurbished or grey-import chair has no Herman Miller warranty, whatever the seller promises.
  • The warranty does not follow the chair to a second owner, because it is written for the original purchaser.
  • Your invoice is your proof of seller and purchase date. Keep it with the chair records.

How to tell if your Herman Miller chair is genuine

A genuine Herman Miller chair can always be traced. Four checks tell you whether yours is the real thing: the seller, the packaging, the manufacturing label under the seat and the logo on the chair itself. Do all four before you rely on the warranty.

  1. Check the seller on Herman Miller’s website. Open the Herman Miller dealer page, search for Kazakhstan and confirm that the company selling you the chair is listed as a Herman Miller dealer. If it is not, ask for written proof of authorisation before you buy.
  2. Look at the packaging. Original boxes come in two sizes, whether the chair arrives assembled or in parts, and they carry the Herman Miller logo and name. A label on the box shows the customer’s order number and name, the model number, and the order and receipt dates.

3. Find the label under the seat. Every Herman Miller chair has a manufacturing label on its underside showing the model number, the order number and the manufacture date. Never remove it. It is needed for warranty claims and confirms that ​every part of the chair is original.

The label is part of Herman Miller’s traceability and quality-control system. It is applied during production and records the model, the production order number, the batch number and the production date. Herman Miller and its authorised dealers use it to confirm where a chair came from, how it was configured and whether it qualifies for warranty and service.

4. Find the logo on the chair itself. Whatever the colour, configuration or size, the Herman Miller logo sits in the same place on every chair of a given model, and it is repeated on the label under the seat. Here is where to look on three popular models.

Aeron. Made in several colours and configurations and in three sizes (A, B and C). The logo is always in the same place on the back frame, and again on the warranty label under the seat.

No label, or a label that does not match? Without the label, or if its details cannot be matched with Herman Miller’s official records, the chair cannot be reliably identified. Its warranty, its right to service and the originality of its parts cannot be confirmed. If you bought the chair new and still have the receipt, your dealer can help identify the sale, as the claim steps below explain.

Which Herman Miller warranty applies in Kazakhstan?

Herman Miller publishes two warranty documents: one for products bought in the U.S. and Canada, and an International Warranty for products bought anywhere else. A chair bought in Kazakhstan falls under the International Warranty. You can read the full text on Herman Miller's website.

The International Warranty also states that it covers Herman Miller-provided products, components and related repair work performed by authorised Herman Miller dealers. Repairs should therefore go through your dealer, not an independent workshop. Fitting non-original parts is the quickest way to put a claim at risk.

How to make a warranty claim, step by step

Herman Miller's guidance is simple: begin with the dealer or retailer where you bought the product. Here is the sequence.

1.     Check the date. The term runs from the purchase date on your invoice. Twelve years is long, so confirm you are still inside it.

2.     Find the manufacturing label. It is typically on the underside of a chair seat, under a table surface or on the underside of the product. Labels have changed over time, so compare yours with the four examples below.

​3. Photograph the label clearly. You need the complete product number, the FO ​ ​number and the manufacture date.

​4. Photograph the problem. Send a clear picture that shows both the product and ​the fault. If a close-up is needed, send two images. For a squeak or unusual movement, a short video helps.

​6. Repair or replacement. If the fault is covered, the dealer coordinates the repair ​or replacement.

Label missing or torn? If you still have the receipt or card statement from the original purchase, the dealer can identify the sale and help verify coverage.

Seven habits that keep your warranty intact

  1. Buy from an authorised dealer and keep the invoice with your chair records. Our guide to verifying a genuine Herman Miller chair shows what to check.
  2. Leave the manufacturing label alone. It is the key to every claim.
  3. Use the product as designed. Herman Miller's chair adjustment guide shows how to set up each chair. A correctly adjusted chair also sits better.
  4. Clean it the manufacturer's way. Follow the care and assembly instructions rather than improvising with strong chemicals.
  5. Never modify the product or swap in non-original parts. Ask your dealer for genuine replacements.
  6. Let authorised installers handle installation of anything that needs it, such as workstations.
  7. Store and move chairs carefully. Improper storage and extreme conditions are excluded. If you are relocating, follow our office relocation checklist and photograph every label before packing.

The warranty as a cost decision

Finance and procurement teams rarely compare chairs on price alone. A better question is: what does one seat cost us per year of service?

Cost per seat per year  =  (purchase price + expected service cost)  ÷  years in service

 

A 12-year warranty gives you a defined period in which Herman Miller, not your budget, carries the repair risk for covered failures. It is not a promise that a chair will last exactly 12 years, and it does not cover wear. But it lets you model a long service life with a known downside, which a cheaper chair with a short or conditional warranty rarely allows.

When you furnish 50, 200 or 500 seats, the warranty is a contract question as much as a product one. Put these eight questions to every supplier.
